Signs It’s Time to Stop Doing Your Own Books
Doing your own bookkeeping works until it doesn’t. The trouble is that the point where it stops working rarely announces itself — you just notice one day that you’re further behind than you meant to be.
Here’s what we’d tell you to watch for.
You’re months behind — or you only do it once a year
Plenty of business owners catch up on their books in one long stretch before tax time. It feels efficient. It isn’t.
Reconstructing a year from memory and a pile of statements means guessing at things you knew perfectly well in March. Those guesses go on your return. And a year of catch-up work takes far longer to sort out than twelve months of small, current entries would have — which brings us to something worth saying plainly: cleanup costs more than upkeep. The messier the books when they reach us, the more hours it takes to make them usable.
You’re not sure how to categorize things
This is the one that causes real damage, and it’s easy to do wrong without knowing it.
Expenses coded to the wrong account. Personal spending sitting on the business balance sheet. Purchases that should have been capitalized recorded as expenses instead. None of it looks alarming inside the software — the numbers still add up, and the reports still print.
But the consequences are real. Miscategorized items can mean you overpay tax, or that you underpay and owe it later with interest. They make an audit longer and harder, because someone has to reconstruct what actually happened. And correcting them often means amended returns plus the cleanup work to get the books right first.

You can’t answer basic questions about your own business
Not “what did we make last year” — that’s on the return. More like: which jobs were actually profitable, what your payroll is really costing you, whether this quarter is better or worse than last.
Good books answer those questions in a minute. If yours can’t, they’re not doing the job you’re keeping them for.
Finding Time to Work on the Business, and Not in It
Having someone take the load off of your shoulders can free you up to do tasks that actually drive your business. You’ll have time to make that hire, that sales call, or fulfill that order. Stay in your lane, doing what you do best, while letting someone else take the minutia off of your plate. Books done properly, and timely, aren’t and expense, they are an investment.
The fix is ongoing, not annual
Most of this disappears when someone keeps up with the books throughout the year. Nothing to reconstruct, nothing to guess at, and by the time filing comes around the hard part is already done. Tax season becomes a formality instead of a scramble.
