When Is It Worth Hiring a CPA?

Most business owners we meet didn’t decide to do their own accounting. It just happened. The first year was simple enough, the software was cheap, and doing it yourself was easier than finding someone. Then the business grew, and the books grew with it, and now it’s a Saturday problem.

If you’re wondering whether it’s time to hand it off, there are two questions worth asking — and only one of them is about money.

What are those hours actually worth?

Ask a contractor how long the books take each month and you’ll usually hear a shrug and a number that’s too low. It’s rarely just the hours. It’s the ones spread across evenings and weekends, the receipts that turn into a hunt in April, the quarter you meant to reconcile and didn’t.

Now ask what those same hours produce when they go into the business instead — one more bid written, one more job scheduled, one more evening not spent at the kitchen table. For most owners, the honest comparison isn’t the fee versus the software. It’s the fee versus what the time could have earned.

What are you an expert in?

This is the part people skip. You are genuinely excellent at what you do. A contractor knows how to price a job so it’s still profitable when materials move. A dentist knows how to run a schedule that keeps chairs full without burning out the staff. That knowledge took years, and nobody picks it up from a help article.

Accounting is the same. Knowing which expenses hold up, how to structure things before a decision rather than after, what a set of books should look like when a bank or a buyer asks — that’s a profession, not a setting in a program. Software will do what you tell it. It won’t tell you what you should have done differently last year, or what’s coming next year.

You’re the expert in your industry. We’re the expert in ours. The work goes better when both of those are true at the same time.

When the answer is usually yes

A few situations tend to settle the question: you’ve hired employees, you’re taking on work in more than one state, your business owns real property or equipment, you’re borrowing or selling, or the books have simply gotten past the point where you could explain them to someone on short notice.
